Administrative assistant TCO Department of Turnaround & Special Projects • Contribute to the systematic management of safety, health, environmental, reliability and efficiency to achieve world-class performance which is in support of TCO Operational Excellence strategy (complete BBS observation and workplace evaluation) • Control and Registration of incoming and outgoing documentation. • Coordinates HR, technical & other issues with corresponding departments of TCO. • Enroll staff employees to different training classes using LMS system, develop personal training plan for individual employee based on the matrix filled out per Supervisor’s guidelines. • Submitting requests for IT HelpDesk and ESS • Submitting requests for L-410 and bus, Visa and different training classes. • Arrangement of visitors trips (DIG form, TCOV & ATH accomodation request, temp badges and Meal Badges, transportation, Safety Training and Visa department communications). • Submitting requests for DOA for different CC/AFE approval • Monitoring and providing personnel with PPE and office supplies, tea/coffee/water/soft drinks and janitorial. Arranging celebration lunches. • Any other duty as required by Department Team Leader & Group Supervisors. · Runs report on accruals of Contractor Personnel during the TAs & Special Projects in Excel. · Coordinates the Housing issues for all TCO & Contractor personnel during the TA. Runs reports on Accommodation for TA Management. · Make travel arrangements on iLogistics Program. · Arrange access to TCO Facilities on New Visitor System. · Coordinate Training arrangements for TA personnel. Run training tracking log. Certificates: JHA Safety Induction Course Safe Work Practices Access to the Plant Languages: Kazakh, Russian - Advanced. and English - Above Intermediate Skills & abilities: Other Skills: Proficient in : Windows XP (98/2000), MS Office (Word, Excel, Power Point, Outlook), , Internet § To make detailed action plans. § To collect, summarize, structure information § Able to perform the job independently with minimum control § To take reasonable actions for self-development § To share the work experience & information with the colleagues for achieving the team goals Interpersonal Skills: Hobbies: Always ready for challenges to obtain new experience, excellent communication skills; a quick learner.
